Corporate Travel & Transportation Administrator
Responsibilities:
Travel:
• Understand, communicate, and execute corporate travel policy for all travel reservations.
• Assist Executive Assistants and employees with travel reservations on an as-needed basis.
• Ensure that the travel reservations made in Company's travel booking tool are reasonable and within corporate policy.
• Manage and maintain employee access to Company's travel booking tool.
• Manage employee travel perks (club passes, status match, elite status, upgrades, employee requests for upgrades) according to Company policy.
• Makes recommendations to the business related to improving travel policies and procedures.
• Participate in new employee orientation related to the company's Travel Policy.
• Analyze travel spend for savings opportunities (negotiation with vendors is not expected, but participation in communications and meetings with vendors may be required).
• Monitors the location of traveling employees at all times using available tools; including notifying travelers of restrictions, potential risks, or travel advisories issued for the cities/countries in which they are currently located or traveling to.
Transportation:
• Manage company's transportation and commuter benefits program, including shuttles, valet for parking, Caltrain and other public transportation options.
• Work with internal stakeholders & vendors to adjust or modify shuttle schedules, valet needs etc. per Company needs.
• Analyze transportation data for opportunities to improve services, lower spend etc.
Requirements:
• 8-10 years of experience in a similar role, serving as an admin for a corporate travel program.
• Understanding of complex airline fare class structures.
• Knowledge of airline upgrade processes, status tiers and elite benefits (specifically United Airlines, others would be a plus).
• Understands rental car elite programs and booking policies.
• Understands Hilton Honors, Marriott Bonvoy, and IHG brands/elite programs.
• Advanced capabilities in Microsoft Excel for data analysis purposes.
• Communicates effectively and clearly.
• Able to work under pressure on multiple simultaneous tasks in a fast-paced environment.
• Collaborative and assertive, capable of working cross-functionally within the company.

Pay range is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location.
