Junior Administrative Assistant
We are seeking a highly organized and detail-oriented contractor to manage and process expense reports for multiple executives. In this role, you will work closely with executive assistants and the finance team to ensure timely and accurate expense submissions. You may also support various ad-hoc administrative and operational projects as needed.
Key Responsibilities:
- Expense Report Management: Collect, review, and organize receipts and documentation from multiple executives.
- Ensure Compliance: Confirm all expenses meet company guidelines with proper documentation.
- Processing Reports: Submit accurate reports within the 30-day submission window.
- Team Collaboration: Communicate with executive assistants to gather missing receipts and resolve discrepancies.
- Tracking & Reporting: Maintain organized records of submitted and approved reports.
- Support Missing Receipts: Follow company policy using declaration forms or contact vendors as needed.
- Ad-hoc Projects: Assist with general administrative tasks and special projects.
- Filing & Documentation: Manage digital and physical filing systems for expense-related documents.
- Experience managing expense reports, accounting, or administrative support (corporate preferred).
- Excellent attention to detail and proactive problem-solving skills.
- Strong organizational and time-management abilities.
- Proficiency with expense tools (Concur preferred) or accounting software.
- Ability to work independently and collaborate with teams.
- Professional communication skills, both written and verbal.
- Experience handling sensitive and confidential information.
- Quick adaptability to new systems or tools.
- Experience supporting senior executives or working in a fast-paced corporate setting.
- Knowledge of corporate travel policies and procedures.
