Executive Assistant
Talascend is currently seeking an Executive Assistant for a long-term contract opportunity with our client in Englewood Cliffs, New Jersey.
Overview
The executive assistant will provide high-level administrative support to senior executives, ensuring the smooth operation of their office and facilitating effective communication and coordination. This role requires a proactive, detail-oriented professional with excellent organizational skills and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
- Manage and prioritize the executive's calendar, schedule meetings, and coordinate appointments.
- Prepare and organize travel itineraries, including booking flights, accommodations, and transportation.
- Handle correspondence, including emails, letters, and reports, ensuring accuracy and professionalism.
- Act as the primary point of contact for internal and external stakeholders.
- Prepare and distribute meeting agendas, minutes, and follow-up actions.
- Liaise with other departments to ensure seamless collaboration and project execution.
- Assist in the planning and execution of special projects, events, and initiatives.
- Monitor project timelines, budgets, and deliverables to ensure successful outcomes.
- Maintain strict confidentiality of sensitive information.
- Provide support in preparing presentations, reports, and other confidential documents.
- Oversee office operations, including supplies, equipment, and vendor relationships.
- Ensure a well-organized and efficient work environment.
Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field.
- Minimum of 3-5 years of experience as an executive assistant or in a similar role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational, time management, and multitasking skills.
- Exceptional communication and interpersonal skills.
- Ability to work independently and as part of a team in a dynamic environment.
- Experience in a corporate or executive office setting.
- Familiarity with project management tools and software.
- Korean/English bilingual strongly preferred.
