Talascend is currently seeking a Records Management Clerk for a contract opportunity with our client in Riverside, California.

Overview

This role involves supporting records management initiatives, including reviewing, verifying, digitizing, and organizing project records within electronic document management systems and shared platforms.

Responsibilities

  • Retrieve and track archival boxes using shared tracking systems
  • Perform inventory and categorization of physical project records
  • Lift archive boxes up to 50lb as needed
  • Verify documents exist in digital storage and conduct quality reviews for completeness, legibility, and proper orientation
  • Identify gaps and missing records in digital files
  • Scan physical documents or pages missing from the EDMS
  • Upload and index documents into Laserfiche or other storage platforms
  • Maintain accurate work status tracking in Excel
  • Coordinate retrieval of digital records from external drives as needed
  • Prepare boxes for final disposition according to retention policies
  • Communicate progress and issues to project lead
  • Review and organize digital project files in SharePoint and network folders
  • Standardize folder structures and file naming conventions
  • Support the creation of a centralized As-Built document library
  • Complete verification of archival boxes ensuring records are digitized, accurate, and properly stored

Qualifications

  • 2+ years of experience in administrative, records management, or document control roles
  • Experience working with electronic document management systems (Laserfiche preferred)
  • Proficiency in Microsoft Excel and Office suite
  • Exceptional attention to detail and accuracy
  • Ability to review large volumes of documents systematically
  • Strong organizational and time-management skills
  • Effective written and verbal communication skills
  • Ability to work independently with minimal oversight

Preferred Qualifications

  • Experience with Laserfiche or similar EDMS
  • Background in engineering, construction, or project-based document environments
  • Familiarity with archive management or records audits

This is an in-office position in Riverside, California, with physical handling of archive boxes, including lifting up to 50lb. The work involves repetitive, detail-oriented tasks requiring sustained focus.
