Talascend is currently seeking an Executive Administrative Assistant for a contract opportunity with our client in Plano, Texas.
Overview
The executive administrative assistant provides high-level administrative support by conducting research, handling information requests, and performing clerical functions. This role acts as an information and communication manager for an executive and their teams.
Responsibilities
- Supervise general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
- Review and approve invoices, reports, memos, letters, financial statements, and other documents.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Prepare agendas and make arrangements for committee, board, and other meetings.
- Make arrangements for travel, planning meetings, etc.
- Submit travel and other expense sheets for supported leaders as well as other administrative submissions like IT requests.
- Respond to requests for items such as organizational chart updates and seating charts.
- Manage an active calendar of appointments, ensure executives stay on track, and handle scheduling conflicts proactively.
- Assist with staff onboarding and off-boarding, including equipment setup and system access requests.
- Triages and performs basic troubleshooting for hardware, software, and phone issues.
- Handle office supply management and other general office functions.
- Liaise with customers and internal executive-level contacts.
- Develop and maintain cross-divisional relationships with other administrative assistants.
- Handle ad hoc administrative duties as they arise.
Qualifications
- 2 year degree or equivalent work experience
- 8-10 years of experience required
- Experience working with executives mandatory
- Demonstrated ability to perform the duties of this position through relevant experience, training, or education.
- Verbal and written communication skills, multi-tasking, customer service skills, and interpersonal skills.
- Ability to work independently and manage time effectively.
- Ability to keep information organized and confidential.
- Experience in event planning, budgeting, and related activities.
- Previous experience with computer applications such as Microsoft Word, Excel, and PowerPoint.
