Receptionist
Talascend is currently seeking a Receptionist for a contract opportunity with our client in Piscataway, New Jersey.
Overview
This role provides front desk and administrative support, including greeting visitors, answering and routing calls, and assisting with mailroom and conference room readiness.
Responsibilities
- Meet, greet, and log in visitors
- Answer and forward calls
- Perform basic administrative departmental duties
- Ensure coffee stations and copy centers are stocked and functional
- Provide mailroom support by operating the mail machine for postage and sorting mail as needed
- Serve as a back-up for mail operations
- Support hub employees with simple requests
- Assist with conference room set-ups (town hall), including tables and chairs if needed
- Manage room and workspace needs by checking schedules, moving people when adjustments are needed, and tracking daily reservations
- Manage late arrivals and post signage using the 10 AM rule
- Assist with booking Outlook conference rooms (control over CR1)
- Check conference rooms for neatness
- Turn TVs/monitors on in the morning and off in the afternoon
- Ensure window blinds are even
- Order supplies and put out extra supplies as needed
- Provide guest and employee support by greeting guests, signing in guests and employees from other sites, and booking workspace when needed
- Sign in contractors, confirm unscheduled contractors, and track wristbands
- Provide directions
- Answer phones and direct messages to appropriate team members
- Help identify the correct business line and contact when needed
- Contact site services for temperature complaints
- Accept food deliveries and notify the recipient
- Manage lost and found
- Manage menus
- Change water jugs
- Start up the lobby board
Qualifications
- High school diploma or equivalent
- 2+ years of experience in an administrative role
- Demonstrated ability to perform the duties of this position through relevant experience, training, or education.
