Talascend is currently seeking a Facilities Management Assistant for a contract opportunity with our client in Annapolis Junction, Maryland.

Overview

The Facilities Management Assistant supports the operational, maintenance, and administrative functions within various facility locations, ensuring safety, efficiency, and regulatory compliance. This role involves coordinating vendors, managing work orders, assisting with budgets, and maintaining high levels of customer service.

Responsibilities

  • Assist in managing daily operations of commercial facilities, including building systems and occupant services.
  • Coordinate preventive and corrective maintenance activities through third-party vendors and contractors.
  • Request proposals, schedule inspections, and oversee repairs while ensuring quality customer service.
  • Support the Senior Facilities Manager with budget development and review of repair/maintenance proposals.
  • Manage work orders in CMMS platforms from initiation to completion, ensuring accurate documentation and timely resolution.
  • Conduct routine facility inspections and property walkthroughs to identify needs and safety concerns.
  • Create and edit monthly reports related to work orders, budgets, and projects.
  • Serve as a point of contact for occupants, vendors, and service providers, resolving facility-related issues.
  • Support training for vendors and facility personnel on operational and safety protocols.
  • Collaborate with cross-functional teams to ensure efficient facility operations.

Qualifications

  • High school diploma or equivalent with a valid driver’s license.
  • Minimum of 3+ years of proven facilities management experience managing hard and soft services as a third-party provider.
  • Working knowledge of facility systems including HVAC, electrical, plumbing, fire/life safety systems, BMS, and water treatment.
  • Proficiency with MS Office Suite (Excel, Word, PowerPoint, Outlook), Tableau, CMMS, and SharePoint.
  • Strong leadership and interpersonal skills to effectively collaborate with associates, clients, and vendors.
  • Knowledge of financial and accounting principles related to commercial property management.
  • Ability to interpret technical documents and respond professionally to inquiries.

Preferred Qualifications

  • Facilities operations experience, including preventive and corrective maintenance.
  • Vendor and contractor management skills.
  • Proficiency with CMMS platforms such as Corrigo or ServiceNow.
  • Experience with work order management, budgets, and expense handling.
  • Knowledge of building systems, safety compliance, and property inspections.
  • Project coordination skills and knowledge of health & safety standards.

The work schedule is Monday through Friday, 8 am to 5 pm, onsite with parking available. Due to security requirements at this location, candidates must be U.S. citizens or military personnel. Travel to multiple locations (Malvern, PA; New York, NY; Washington, DC) is expected once a month. Please note this is a 3-6 month contract with potential conversion to full-time employment based on performance.
