Facilities Coordinator
Talascend is currently seeking a Facilities Coordinator for a contract opportunity with our client in Redwood City, California.
Overview
The Facilities Coordinator will support operational activities related to maintenance, vendor oversight, equipment and supplies, and occupancy services. The role involves ensuring excellent service levels, managing repairs and maintenance, supporting client relationships, and coordinating various workplace functions to maintain a safe and efficient environment.
Responsibilities
- Support the workplace experience team with maintenance and operational activities
- Respond to work orders promptly, ensuring KPI compliance and high customer satisfaction
- Conduct site inspections to maintain safety and operational standards
- Schedule and oversee repairs, maintenance, and minor works
- Coordinate with vendors, facilities staff, and service providers for smooth operations
- Assist in procurement processes and general office moves
- Support events, meetings, and conference facilities
- Handle reception duties, mail and courier services, office supplies, and equipment maintenance
- Manage building access passes, safety, and security protocols
- Maintain accurate documentation and records for site activities
- Update emergency response plans and support safety procedures
- Build and maintain client relationships, ensuring service levels meet or exceed expectations
- Coordinate site operations according to policies, procedures, and contractual requirements
Qualifications
- Prior experience in facilities, property management, hospitality, or related fields preferred
- Ability to lift up to 50 lbs and move furniture as needed
- Knowledge of local occupational health and safety requirements and vendor management is advantageous
- Understanding of technical systems such as HVAC, fire protection, and electrical systems is beneficial
- Proficiency with information technology tools and platforms
- Excellent communication, organization, and problem-solving skills
- Ability to work independently with minimal supervision and handle stressful situations effectively
- Self-motivated, confident, energetic, and flexible
