Subcontract Administrator
Talascend is currently seeking a Subcontract Administrator for a contract opportunity with our client in Chandler, Arizona.
Overview
This role involves participating in subcontract formation and administration within a large-scale construction project, ensuring compliance with project requirements and effective communication with stakeholders.
Responsibilities
- Develop multiple contracts and/or service agreements simultaneously as assigned.
- Perform formation duties including sourcing and prequalification of potential bidders, preparing and issuing request for proposal packages, coordinating and resolving technical and commercial clarifications, receiving bids, organizing the evaluation process, preparing commercial bid summaries and recommendation documents, securing approvals, and preparing contract documents for execution.
- Implement the division responsibilities matrix and standard work process procedures applicable to subcontract administration.
- Administer assigned subcontracts, maintaining ongoing reviews of progress and providing management with information regarding projected financial or technical difficulties.
- Prepare and maintain control and status reporting documents.
- Organize and conduct meetings such as bid clarification and pre-award meetings to ensure complete understanding among stakeholder parties.
- Assist project contracts team with administrative problems involving planning, staffing, work-hour calculations, budgeting, procedures, commitments, technical specifications, or commercial conditions.
- Coordinate with construction, engineering, and support services staff on operational activities affecting contractual rights and obligations, subcontract performance, and management.
- Represent the company in contractual discussions of moderate complexity.
- Monitor cost versus scope progress and prepare periodic status reports for management.
Qualifications
- Bachelor's degree or international equivalent.
- 5-8 years of relevant experience or 9-12 years of relevant work experience.
- Knowledge of service acquisition & procurement regulations, policies, and practices.
- Demonstrated training or experience in pricing, contract law, negotiations, and accounting.
- Working knowledge of engineering/construction industry contracting practices.
- Experience in developing contract types (including LSTK, T&M, UR), fee arrangements, and contract terms.
- Experience in developing and recommending solutions to contractual problems to management.
- Broad knowledge and experience in subcontract administration.
- Strong organizational and communication (oral and written) skills, with a professional and proactive approach.
- Knowledge of developing negotiation strategies utilizing accounting or cost engineering methods.
- Understanding of project functional groups, company policies, procedures, work practices, and software systems.
- Minimum of 5 years in (sub)contract administration.
- Proficiency in all phases of the formation and award of large, moderately complex contracts.
- Demonstrated ability to perform the duties of this position through relevant experience, training, or education.
